A centralized repository of procedures and instructions for workers at the circulation desk.

The scanner next to the Interlibrary Loan office is available for public use.   Scanning can be done in color or black and white, and there are a number of file types available (.jpeg, .pdf, etc).  Color files will be larger than black and white.

Users have the option to:

  1. scan to a USB drive or
  2. deliver the document via email.
    If a user selects the email option, the mail will be sent from the "circulation@sunybroome.edu" email account, and any responses will go to that account.  Also, if the email is undeliverable for any reason, that message goes to the circulation inbox as well.

File Retention

Because Gmail automatically saves a copy/record of all sent email, the circulation email account quickly fills with all kinds of files, some of which may contain personal information (as there are no restrictions on what users may scan).  In order to protect patron privacy as best as possible, the following rules exist.

  1. Only designated library staff will have access to the circulation email password.
  2. No scanned attachments will be opened without a patron's knowledge (ie, if a patron inquires about a scan they were expecting and did not receive, library staff can check the inbox and sent mail for the file).
  3. Both the sent mail and the undeliverable messages in the inbox will be retained for no more than 1 week.
