Access Services

A centralized repository of procedures and instructions for workers at the circulation desk.

Overview

When new books arrive in the library, they are typically featured on the "New Book" display in the library lobby.  The system is configured to "move" these items to the general collection (upstairs) after 60 days.  At this time, the titles will appear in the "Pick From Shelf" utility in Alma, which indicates it is time to 1) physically locate the materials and 2) move them.

*Other items sometimes show up in the Pick From Shelf list - they may have been on display, on reserve for a specific time, or it may be a cataloging error!  When you find items on the list that are NOT new books (or have not been identified as titles that need to be moved) check with the Access Services Librarian.

Process

  1. Open and log in to Alma.
  2. From the Fulfillment menu on the left side of the screen, select "Pick From Shelf."
  3. Locate the items displayed.
  4. From the Fulfillment menu on the left side of the screen, select "Scan in Items."
    1. On the next screen, all 3 options should be set to "no."  You should not need to make any selections or enter anything in the "Work Order Type" or "Scan Request ID" fields.
    2. Scan the item barcode in the starred field.  The system will populate a list (below the blank fields) that tells you where the item you have scanned belongs.

  5. The book is now ready to be re-shelved in the general collection. 
  6. Once you have finished scanning all the located titles, you can double-check that the list is empty (or that the correct titles have been removed) by selecting "Pick From Shelf" from the Fulfillment menu again.
